Virtual Receptionist for

Med Spas & Aesthetic Practices

ROLE

This position is for an Executive/Personal Assistant to April Iannazzone.

We are fast-moving organization who is looking for an energetic, detailed oriented, problem solver who can easily adapt into the fast-paced, growing culture.

This is a Hybrid Full-Time position, Monday-Friday 9am-5pm

60% of time will be in CEO's home office. 40% of time will be remote working. Compensation $15-20/hour - based on experience.

Responsibilities

  • Providing administrative and personal assistance directly to CEO

  • Interacting with team and assisting with administrative tasks as needed

  • Purchasing, tracking, receiving, & returning of orders made by or for the CEO

  • Scheduling travel arrangements for CEO for both personal and business purposes

  • Arranging details for external events and meetings for the leadership team

  • Assisting with live event production

  • Research vendors for company products and negotiate for the lowest price possible

  • Organizing podcast development, inviting and engaging with show guests to gather all relevant information for the CEO ahead of schedule

  • Book CEO and President for speaking engagements.

  • Package and mail G&P gifts to new clients and team members

  • Light household chores/tasks, such as but not limited to: change water in flowers, put away dishes, vacuuming floor (no heavy cleaning).

  • Running errands for the CEO, such as but not limited to: picking up dry cleaning, shopping, post office

  • Research providers and book appointments for CEO and family, such as but not limited to: dentist, doctors, personal care

Results

  • Provide peace of mind to CEO

  • Maintain clear and concise communication with CEO, so she is aware of issues, problems, or challenges

  • Consistently and reliably complete all assigned tasks

  • Anticipate the needs of the CEO and be one step ahead of her at any given time

  • Understand all company products and initiatives

Requirements

  • Cell phone (MacBook will be provided)

  • Strong Internet connection at home

  • Positive and upbeat attitude

  • Solution-oriented mindset

  • Must be comfortable making outreach phone calls

  • Meticulous about details

  • Basic knowledge of Google Drive

  • Text Savvy

  • Excellent ability to write and edit text

  • Determined personality

  • Ability to deal with some ambiguity -- subject to schedule and priority changes on short notice (within reason)

As an MSC Virtual Receptionist, you will play an essential role in our team, acting as the first point of contact for our clients' patients. You will not only answer calls but also exceed callers' expectations, attract new clients, and reflect our clients' brand values through exceptional customer service.

REQUIREMENTS

-Must be intrigued and willing to learn about the medical spa space.
- We will be teaching you everything you need to know, but it's important to note, that you will be acting as an extension of each of the med spas you are answering the phone for.
- You must be somewhat tech-savvy - if you struggle to use a computer, you will not be a good fit for this position
- Excellent people skills (super friendly and patient) and a desire to work in a fast-paced, high-call volume environment. 

-Fluent in English (bilingual a plus)

RESPONSIBILITIES

- Start your shift on time and ready to work

- Answer incoming phone calls, text messages, and social media chats for medical spas and other aesthetic practices

- Call patients to remind & confirm appointments.

- Schedule book consultation & schedule treatments

- Follow-up on marketing leads to generate book consultations

- Communicate professionally and showcase your friendly personality

- Navigate cloud-based technology to handle caller interactions using multiple screens

- Familiarize yourself with our clients and their services

- Attendee regular training sessions to sharpen your skills and gain knowledge about the aesthetic industry

- Have a can-do attitude while multitasking

- Be a team player, reliable, and presentType detailed messages free of spelling & grammatical errors
